Ideas for RoomKeyPMS

The goal of this portal is to:

Detailed Reservation Modification Log

It would be neat to have the ability to see the original reservation and date it was set for - as well as any changes made to a reservation (and the date the changes where made on). Like a log file similar to how guest and reservation notes get logged, except with a few more fields.


There's three scenarios where this is useful:

a) Someone arrives a day early / late because we accidentally dragged and dropped them to a different date when using the tape chart.

b) There's a no-show and we want to be sure it wasn't our mistake (accidentally changing the date) before we charge a cancellation fee.

c) Sometimes people will miscommunicate about a reservation modification they made to their group. (I.e. a contractor not telling his workers he moved their reservations to come in a day later than what was originally booked). Currently we make reservation notes for scenarios like this (after changing the date, we write "On 9/16 David changed from arrival on 21st to 22nd for this room"), to avoid confusion and them blaming fron desk staff for their own mixup.


I know there's a "reservation" button under the "arrivals" and "no-shows" tabs, and there you can look up the "date in". But it's unclear if that was the original date in or (most likely) the current date regardless of reservation modifications. Currently the only way to know for sure the original "date-in" is to find the email confirmation that was sent to the guest and check there. If it was sent over 30 days ago you can check the PDF attachment. But it would be more convenient if there was a reservation history log.


The reservation history log should optionally have fields where you can write the reason for reservation modification and which guest made them, so if scenario "c" happens we can see who called in (or stopped by in-person) and made the changes, as well as the date they made them, to avoid confusion and them blaming front desk staff for the mix-up.


Example - filling this out is optional and the "guest" and "message" are both optional fields:

Reason for modification:

Guest: (who made modification): David Clark

Message: "Contractor rescheduled room to come in day later."
